A former physician and practice owner partnered with Xorbix to design and develop a fully integrated Electronic Medical Record (EMR) platform tailored to the needs of modern clinic operations. As the organization experienced growing patient volumes, expanded service lines, and an increasingly diverse group of internal users—including providers, clinical staff, administrators, and front desk teams—it needed a secure, scalable system to unify scheduling, clinical documentation, billing, compliance, and reporting workflows.

Leveraging its expertise in custom healthcare software development, Xorbix delivered a centralized EMR solution designed to support efficient care delivery and long-term growth. The platform features role-based access controls, AI-powered documentation capabilities, operational dashboards, and flexible billing functionality, giving users across the organization the tools they need to manage clinical and administrative workflows within a single, integrated system.

1. Existing EMR systems were outdated, overly complex, and not designed with a modern, user-friendly experience in mind, creating inefficiencies across daily clinic operations.

2. Providers and staff needed a faster, more intuitive platform to manage scheduling, patient documentation, and administrative tasks with minimal training.

3. Many legacy systems lacked the flexibility to support the wide range of user roles required across front desk, clinical, provider, and administrative teams.

4. Secure access controls and patient data protection were critical, but older platforms often made compliance and permission management difficult to maintain.

5. Disconnected workflows between scheduling, charting, billing, and reporting created delays, increased manual work, and made it more difficult for teams to access the information they needed.

  • Create an intuitive, user-friendly experience that improves efficiency for providers, clinical staff, front desk teams, and administrators.
  • Build a dynamic scheduling system that connects appointments directly to patient records, visit workflows, and clinical documentation.
  • Implement AI-powered note generation to reduce manual charting and streamline provider workflows.
  • Support multiple billing models, including employer billing, self-pay, private insurance, and third-party administrator (TPA) billing.

 

Analytical Goals:

  • Provide administrators and providers with real-time dashboards for monitoring operational performance, workplace injuries, patient volume, and billing activity.
  • Track random drug testing selections, compliance metrics, and testing outcomes through configurable reporting tools.
  • Enable data-driven decision-making through visual analytics, trend reporting, and exportable insights.

Solution

  • Xorbix partnered closely with the client to architect and develop a custom, HIPAA-compliant Electronic Medical Record (EMR) platform that modernized clinic operations and replaced inefficient legacy workflows. The solution was designed as a centralized system that unified scheduling, clinical documentation, billing, compliance, and reporting within a single secure and scalable platform.

  • Connected each appointment directly to the corresponding patient encounter note, reducing clicks and streamlining clinical workflows.
  • Improved front desk operations with faster scheduling, rescheduling, and visit-tracking tools.
  • Empowered front desk staff with a centralized workflow to schedule patients with any provider, create new patient records, check patients in, and assign room numbers—all from a single, unified interface.
  • Enabled clinical staff and nurses to access historical biometric data from previous visits, providing greater context for patient care before physician evaluation.
  • Allowed front desk teams to securely capture and manage critical patient documentation, including insurance information, driver’s licenses, and other essential records, ensuring information remains centralized and easily accessible within the patient profile.

AI-Powered Clinical Documentation:

    • Designed digital charting workflows for providers, nurses, and support staff to efficiently capture complete and accurate visit documentation.
    • Integrated AI-powered ambient listening technology that, with patient consent, automatically generates structured clinical notes from provider-patient conversations.
    • Reduced manual data entry and administrative burden while improving provider efficiency and consistency across clinical documentation.

Billing & Financial Management:

      • Implemented flexible billing workflows to support employer direct billing, self-pay, private insurance, and third-party administrator (TPA) billing models.
      • Automated claim routing, invoice generation, and payment tracking across multiple payer types.
      • Improved revenue cycle visibility through centralized billing tools, reporting, and streamlined financial workflows.

High Level Architecture

Innovations:

  • Developed a unified .NET-based EMR architecture that integrates scheduling, clinical documentation, billing, and compliance into a single platform.
  • Leveraged VB.NET backend logic to support legacy system interoperability while enabling the modernization of clinical workflows.
  • Integrated AI-assisted clinical documentation directly into provider encounter workflows, helping streamline note creation and reduce manual documentation.
  • Enabled deep integration with multiple third-party healthcare services to extend the platform’s capabilities and support connected workflows.
  • Implemented a centralized SQL Server-driven data model to maintain consistent, real-time patient and operational data across the system.
  • Designed role-based workflows tailored to the unique needs of providers, nurses, front desk staff, and administrators.

Security:

The migration to Databricks also introduced improvements in data security, governance, and access management across reporting workflows.

  • Centralized reporting data and permissions within Databricks, improving control over user access and reducing reliance on manually managed backend processes.
  • Enhanced data governance through role-based access controls and more consistent handling of sensitive reporting information.
  • Reduced security risks associated with legacy reporting workflows by moving to a modern, managed cloud analytics environment.

Process

Discovery, Design, and Implementation

A cross-functional Agile team was assembled, including software engineers, UI designers, QA analysts, and project managers. The team collaborated closely with the client to translate complex clinical and operational workflows into a unified, modern EMR platform. Development was executed through iterative sprints with continuous stakeholder feedback, ensuring the solution remained aligned with provider needs, compliance requirements, and long-term scalability goals.

End-to-End Data Processing and Reporting Enhancement

Reusable Databricks notebooks were developed to process and transform data, with automated nightly jobs configured to refresh all layers. This ensured dashboards always reflected current data without manual intervention.

Implemented orchestrated Databricks Workflows (Jobs) to manage task dependencies across Bronze, Silver, and Gold layer notebook executions, ensuring reliable sequencing, failure handling, and automated retries for end-to-end pipeline stability.

Existing reports were rebuilt in Databricks using Gold-layer datasets. The team optimized performance, improved dashboard responsiveness, and enhanced visualizations for better usability and scalability. New graphs and reporting sections were also introduced that were not available in the previous system.

Testing, Validation, and Ongoing Support

Each phase included validation of data accuracy, pipeline logic, and dashboard outputs. Recreating legacy reports required careful testing to ensure the new dashboards matched historical data and calculations. While validating and correcting source data presented some initial challenges, once the datasets were aligned, new graphs and reports could often be created in as little as one day instead of taking weeks.

Xorbix continues to provide managed services, including monitoring, performance optimization, and support for future reporting enhancements.

Results

This project successfully modernized the clients reporting from a custom internal system to a scalable Databricks-based analytics platform.
